General Reservation Terms and Conditions
Passenger and Luggage Limits:
Each vehicle has a maximum passenger capacity and luggage limit as per the manufacturer’s specifications and state regulations. Adhering to these limits ensures a safe and comfortable journey for everyone.
Rental Period:
A minimum rental period of three hours applies. For rentals under three hours, the three-hour rate will be charged.
Toll Taxes:
- For airport pick-up or drop-off services at Logan Airport, a two-way toll will be charged as per Airport Authority rules.
- Tolls for non-airport routes are included in the fare. For long-distance services, tolls and parking fees may vary and must be paid in cash to the driver or by credit card after the service.
Weather and Security Cancellations:
In the event of severe weather conditions (e.g., snowstorms) or serious national emergencies, services may be canceled, and a full refund will be provided.
Holiday Surcharge:
A $50 surcharge applies on public holidays.
Gratuity:
A 20% gratuity is automatically added to all services.
Night Charges:
Services provided between 8:00 PM and 5:00 AM incur an additional $50 night charge.
Cancellation and Refund Terms and Conditions
Cancellation Rules:
Cancellations must be made via email with booking details required 1 week prior notice. Phone cancellations are not accepted.
Refund Policy:
To ensure a smooth cancellation process, please note the following refund terms:
- Full Refund: If you cancel at least 30 days before your ride, you will be eligible for a full refund of your deposit amount.
- 50% Refund: Cancellations made 20-29 days before your ride will receive a 50% refund of your deposit amount.
- 25% Refund: Cancellations made 12-19 days before your ride will receive a 25% refund of your deposit amount.
- No Refund: Cancellations made less than 12 days before your ride will not be eligible for any refund.
Wait Time Terms and Conditions
Airport Pick-Ups:
- Non-Airport Pick-Ups: A 15-minute grace period is allowed. After this, wait time charges apply.
- Domestic Arrivals: A 30-minute grace period is allowed.
- International Arrivals: A 60-minute grace period is allowed.
Wait Time Charges:
After the grace period, wait time charges are $150 per hour for vans and buses.
Responsible Usage Policy
Client Responsibility:
The client is responsible for any damage to the vehicle caused by them or their party during the rental period.
- A sanitation fee of $250 applies for smoking, vomiting, or trashing the vehicle.
- Damage to onboard equipment (e.g., TVs, radios, DVD players) will incur a minimum fee of $400.
Prohibited Activities:
- Smoking, standing through the sunroof, and drug use are strictly prohibited.
- Drug use results in immediate termination of the ride without a refund. Any legal fines or fees are the client’s responsibility.
- Drivers reserve the right to terminate service for inappropriate client behavior without a refund.
Liability Disclaimer
CharterBusVermont is not liable for mechanical breakdowns. In such cases, a replacement vehicle or makeup service will be provided.
We are not responsible for delays caused by unsafe road conditions, winter weather, or articles left in the vehicle.
Payment Terms
Full payment must be made before the service. Credit card payments are processed 24 hours before the service date. Cash payments must be made to the driver at the start of the service.
Overcapacity and Additional Charges
Overloading vehicles beyond seating capacity is illegal.
Fuel surcharges and overtime charges apply for travel exceeding 25 miles from the origin city.
Infant and Child Seats
Infant and child seats are available only in vans.
